SGAC has grown tremendously in the past few years. To support this growth, SGAC is seeking a qualified young professional to join the SGAC headquarters in Vienna, Austria, as the Deputy Executive Director. This challenging role is dynamic, flexible and of high responsibility. Background in problem solving and proactive engagement in developing and following up on international partnerships and fundraising will be strongly valued.

The paid Deputy Executive Director position is split between two areas of responsibility – Operations Management (80%) and Events Coordination (20%). As a global organisation primarily driven by active volunteers from around the world, part of the mission of the deputy ED is to provide opportunities and empower our volunteers to lead and interact with some of today's top leaders in the space sector.

 

About SGAC


SGAC is an internationally recognised global non-governmental, non-profit (US 501(c)3) organisation with more than 8000 members, which aims to represent university students and young space professionals to the United Nations, space agencies, industry, and academia. The organisation was born out of the UNISPACE III recommendations in 1999, and has strong relationships with the United Nations Office of Outer Space Affairs, and the Committee on the Peaceful Uses of Outer Space.

 

Position Description


The paid Deputy Executive Director is to be based in Vienna, Austria. Responsibilities of the position include (but are not limited to) Operations Management, and Events Management.

Operations Management

The Operations Management components of this role has an emphasis on administration of the organisation and communications management, including working closely with the Executive Office on the development and facilitation of opportunities for SGAC members in the space sector. The latter includes overseeing development of the SGAC brand, web and printed content, and supporting public relations and communication efforts. The coordinators of different SGAC teams all report to the Executive Director, and monitoring their activities is a key responsibility of the ED. Tasks include:

  • Facilitating internal communications

    • Ensuring quality and regular communication between the Executive Committee, including Chairs and Regional Coordinators

    • Ensuring monthly Executive Committee meetings are well coordinated, run smoothly, and minutes and action items are captured, and communicated to the team

    • Communicate with NPoCs when needed

  • Facilitating external communications

    • Work closely with the SGAC PR and Communications coordinators

    • Foster and maintain a consolidated brand and image of SGAC including oversight of material such as website, flyers, presentations, etc.

    • Ensure all webnews, press releases, social media posts and newsletter are implemented in a timely manner

    • Oversee Public Relations efforts

  • Assist the management of the SGAC Office

    • Management of physical and electronic documentation

    • Keeping SGAC registration current with various organisations worldwide

  • Provide support to SGAC Coordinators

    • Assist with the coordination of the teams (website, project groups, scholarships, PR and Communications, Finance, Legal, Strategic Partnerships team, Reports, Memberships, Alumni, Regional and Local events)

    • Assist with preparation of any SGAC products before release including papers, reports, web content and brochures

  • Work with the SGAC finance team to make sure financial goals are met, and expenses meet budgeted values

Events Management

The Events Management component of this role is focused on overseeing and coordinating with the SGAC event managers to ensure success of our global events, such as the Space Generation Congress, Space Generation Fusion Forum, and SGx. The SGAC Executive Director also oversees the implementation of other SGAC activities including regional and local events.

  • Assist with the leadership of event teams of up to 15 international volunteers

  • Establish and deliver on deadlines and monitor, encourage and drive teams’ progress

  • Provide guidance to the volunteers and motivate and monitor inter and intra sub-team communication

  • Oversee and ensure professional quality outputs from the volunteer team

  • Oversee and ensure professional communication with external parties including applicants, speakers, donors and merchants

  • Work closely with SGAC partners on joint scholarships and grants to attend SGAC events along with SGAC representation at events organised by partners

  • Liaise closely with SGAC’s Executive Office on the content, budget, and execution of the events

  • Ensure that SGAC events stay true to the spirit of SGAC: young, dynamic, international, sharp and intellectual

Reporting Duties

The SGAC Deputy Executive Director reports to the SGAC Chairs who act on behalf of the SGAC Executive Committee. The Deputy Executive Director should provide regular reports on SGAC activities at the SGAC Executive Committee meetings. These reports include:

  • Status of active partnerships

  • Statistics of events and of the SGAC network

  • Input from the Advisory and Honorary board members

  • Mission/travel report and impact

 

Necessary Qualifications


  • General Requirements:

    • Must be eligible to be a member of SGAC, as per the SGAC Statutes and Bylaws including being below 35 years of age

    • Minimum of 1-2 years of professional working experience outside of academic work

    • Must be able to legally work in Austria, and be legally paid in the E.U.

    • Ability/willingness to live in Vienna, Austria but travel occasionally (~10%) within or outside the E.U. 

    • General understanding of the global space sector landscape, and the SGAC philosophy prefered

    • International Relations or Business Background preferred, but not required

  • Communication skills

    • Strong cross-cultural communication skills

    • Ability to communicate clearly and concisely, both orally and in writing with good drafting skills

    • Professional fluency in English. Additional language skills are a plus.

    • Fast email, and other forms of communication, response times

  • Operations & management skills

    • Empowering a team of approximately 35 students and young professionals volunteers to engage with their respective teams

    • Experience with event planning and management

    • Experience in strategic thinking and problem solving, as well as building, leading, and motivating teams

    • Proven success in meeting deadlines and be able to work independently and with teams under pressure during fast-turnaround needs

    • The ability to establish and consistently maintain effective working relationships with volunteers and people of different nationalities and cultural backgrounds

    • Strong working knowledge of computer applications including Google Apps and Microsoft Office products, such as word processing, spreadsheets, databases, graphs, and charts, e-mail and internet

    • Strong attention to detail

    • Excellent multi-tasking skills

  • Business development

    • Examples of proven success in business, fundraising or financial management experience is a bonus

This position reports to the SGAC Chairs, and works under the supervision of the SGAC Executive Director. The SGAC Deputy Executive Director acts as a contractor for SGAC, NOT an employee. Deliverables and milestones for the role are determined in the contract for this position.

 

Time Commitment and Start Date


This is a full-time paid position requiring some availability on evenings and weekends. As the organisation is volunteer-run and our volunteers are based across time zones all over the world, sometimes you will need to adjust your working hours to met organisational needs, and also contribute more than a typical “9-to-5” office environment and 40 hour work week to meet task deadlines. Passion for what SGAC does is key to the organisation’s success!

Potential start date is 1 June 2017, with a three months probationary training period. After a successful training period, the Deputy Executive Director will receive an increased salary, and additional travel benefits. The total duration of the Deputy Executive Director contract will be 6 months. After the completion of the six month period and upon agreement of both parties, a new contract may be drafted to continue collaboration.

  • Remuneration of 1,000EUR/month during the three month probationary training period, and 2000 EUR/month during the three months after the training period.  
  • Economy class travel expenses will be covered to attend the Space Generation Congress 2017, International Astronautical Congress 2017, United Nations Committee on the Peaceful Uses of Outer Space (UN COPUOS) General Assembly in June 2017.

  • Support of attendance to UN Events including UN COPUOS meetings and other Vienna events as a leader of the SGAC Delegation

  • Upon successful completion of the 6 month Deputy Executive Director contract, a new contract and additional benefits may be provided.

  • The deputy Executive Director may transition to the Executive Director position.

The SGAC Executive Director will also be consulted during the process, and can provide input to the selection committee. The recommendation of the committee will be taken into account by the SGAC Chairs to determine the next Deputy Executive Director.
