The first Middle East Space Generation Workshop (ME-SGW) will be held January 2017 in Abu Dhabi, United Arab Emirates (UAE). The Space Generation Advisory Council is looking for talented, highly-motivated volunteers to join the organizing team for the ME-SGW.

The SGAC Space Generation Workshop series brings students and young professionals in the space sector together to discuss and engage in industry issues specific to their region. Taking part in the ME-SGW organizing team, you will have the opportunity to work among a team of other talented volunteers from all around the world and network with industry professionals, academics, and upcoming leaders. The successful applicants will also have the opportunity to enhance their management and team work skills through working with an international, interdisciplinary, and multicultural team.

List of Positions and Their Requirements


Deputy Event Manager

Responsibilities:

  • Support he event manager in planning and implementation of the event
  • Plan the strategic development of the ME-SGW series along with the event manager under the supervision of the Middle East Regional Coordinators
  • Support the organising team in its efforts and help fill any gaps identified throughout the activities

Required skills and qualifications:

  • Membership in SGAC
  • Quick email response time

  • Experience with project management and task scheduling

  • Attention to detail

  • Familiarity with the SGAC mission and its objectives

  • Customer service mentality

  • Professional Fluency (Speaking, Reading, and Writing) in English

  • Awareness of international cooperation principles, concepts and techniques

  • Availability for 3 days (2 days during the Workshop and 1 day before)

  • Preference will be given to local applicants, and applicants with interest in being involved with the ME-SGW event for more than one edition

  • Previous experience with SGAC events is a plus

Estimated time commitment: 6 hours per week

 

Local Organising Team Members

Responsibilities:

  • Utilize local knowledge and language in supporting the overarching ME-SGW team in researching local facilities that meet event budget needs, such as restaurants and hotels
  • Work closely with other teams within ME-SGW, in particular the logistics team, in the coordination with local organizations
  • Translation of materials and website content into the local language
  • Coordinate closely with the ME-SGW PR & Comms team to promote the Workshop, and seek local sponsors and delegates
  • Lead the preparation of local country travel and cultural information, and other details for the Delegate Handbook

Required skills and qualifications:

  • SGAC membership
  • The volunteers for this role MUST be based in the UAE
  • Good writing and strong communication skills in English
  • Ability to respond to email communications in a timely manner
  • Negotiation skills
  • Availability for 3 days to provide on-site support during the actual event (2 days during the Workshop and 1 day before)
  • Previous experience with SGAC events is a plus

Estimated time commitment: 4 hours per week 

 

Logistics Team Members

Responsibilities:

  • Prepare logistics for venue, hotel, dinners, coffee breaks
  • Coordinate operations during the Workshop
  • Support other teams in logistics preparations

Required skills and qualifications:

  • SGAC membership
  • Good writing and communication skills in English
  • Negotiation skills
  • Attention to detail
  • Availability for 3 days to provide on-site support during the actual event (2 days during the Workshop and 1 day before)
  • Preference will be given to local applicants
  • Previous experience with SGAC events is a plus

Estimated time commitment: 3 hours per week 

 

Communication Team Members

Responsibilities:

  • Coordinate media relations and advertising before, during, and after the Workshop through media
  • Advertise the Workshop to space agencies, universities, companies and other organizations for sponsorship and supports
  • Write press releases for the SGAC PR & Comms team
  • Liaise with the SGAC global PR & Comms team to plan PR activities, and for approval of graphic material
  • Prepare the website for the Workshop in coordination with the SGAC Web Editors
  • Develop brochures and sponsorship kits for the ME-SGW

Required skills and qualifications:

  • SGAC membership
  • Excellent writing and communication skills in English
  • Attention to detail
  • Experience with planning and executing projects
  • Experience with webpage design or web editing is a plus
  • Experience with graphics software is a plus
  • Prior working experience with PR and communications is a plus
  • Previous experience with SGAC events is a plus

Estimated time commitment: 4 hours per week 

 

Program Team Members

Responsibilities:

  • Develop and shape working group topics, and determine the detailed schedule of the days
  • Coordinate and assist working group moderators
  • Work with the Delegate Team to assign delegates to their working groups
  • Ensure that working groups are on schedule during the Workshop
  • Coordinate the development of relevant reports or other deliverables within the working groups
  • Follow up with and support working groups wrap-up after the Workshop

Required skills and qualifications:

  • SGAC membership
  • Good writing and communication skills in English
  • Ability to meet deadlines
  • Availability for 3 days (2 days during the Workshop and 1 day before)
  • Previous experience with managing program content for events is a plus
  • Previous experience attending an SGAC events is a plus

Estimated time commitment: 3 hours per week 

 

Delegate Team Members

Responsibilities:

  • Coordinate all contact with applicants and selected participants
  • Support the selection of participants and draft the necessary acceptance/rejection letters
  • Lead the creation of the Delegate Handbook, working closely with the rest of the other teams to ensure all the vital information is included.
  • Act as main point of contact for question from participants
  • Manage hotel booking for participants, coordinating closely with the local organizing team and logistics team
  • Coordinate with the Executive Office regarding visa procedure for participants

Required skills and qualifications:

  • SGAC membership
  • Customer service mentality
  • Ability to write and communicate effectively in English, especially over emails
  • Prior working experience in related roles 
  • Availability for 3 days to provide on-site support during the actual event (2 days during the Workshop and 1 day before)
  • Previous experience attending an SGAC events is a plus

Estimated time commitment: 3 hours per week

Active members of SGAC teams are considered for nomination for SGAC scholarships and awards. They may also attend one SGAC event per year for free.

Your preferred role should be clearly indicated in your e-mail. Applications will be reviewed by the Regional Coordinators for the Middle East Region and the ME-SGW Manager.
