SGAC is looking for motivated volunteers to help organise the 3rd Asia-Pacific Space Generation Workshop (AP-SGW) to be held November in Los Banos, Laguna, Philippines.

Deadline: 12 July 2016 EXTENDED: 19, July 2016

The 3rd Asia-Pacific Space Generation Workshop needs the dedication of volunteers. Benefits of joining the organising team include developing project management and leadership skills, together with working with an international team. All positions are volunteer-based, and are open to all SGAC members.

 

Description of Roles


Deputy Manager

The Deputy Manager helps the Event Manager with overseeing the progress of the congress, and gathers lessons learned for future events.

Responsibilities:

  • Overall management of the AP-SGW preparations

  • Coordination of AP-SGW Local Organising Committee (LOC) and Team activities

  • Maintenance of AP-SGW Schedule and Budget

  • Leading the AP-SGW Organising Team

 

Number of positions: 1

Estimated time commitment: 5 hours per week 


Communication Team Members

The Communications Team works on the Workshop's public relations in close coordination with the Local Organising Team, and SGAC Executive Office Teams.

Responsibilities:

  • Coordinating media relations and advertising before, during, and after the Workshop through media

  • Advertising the Workshop to space agencies, universities, companies and other organisations for sponsorship and supports

  • Writing press releases for the SGAC Pr&Comms team

  • Preparing the website for the Workshop in coordination with the SGAC Web Editors

  • Developing brochures and sponsorship kits for the 3rd AP-SGW

Desirable skills:

  • Good writing and communication skills in English
  • Experience with webpage design or web editing
  • Prior working experience in related roles 

Number of positions:  Five (5)

Estimated time commitment: 2 hours per week 


Delegate Team Members

The Delegate Team works with the Workshop participants throughout the different stages of the event: applications, delegate selection, delegate coordination, information dissemination prior to the Workshop, and delegate welfare during the workshop.

Responsibilities:

  • Coordinating all contact with applicants and participants

  • Supporting the selection of participants

  • Lead the creation of the Delegate Handbook with information regarding the Workshop

  • Acting as single point of contact for question from participants

  • Managing hotel booking for participants

  • Supporting visa procedure of participants

Desirable characteristics:

  • Good writing and communication skills in English
  • Prior working experience in related roles 
  • Volunteers based in Philippines and/or willing to be available for 4 days (2 days during the Workshop and 1 day prior and after the Workshop) would be preferred

Number of positions: Three (3)

Estimated time commitment: 2 hours per week 


Logistics Team Members

The Logistics team is responsible for leading logistics matters in close collaboration with the Local Organising Team. The volunteers for this role MUST be based in Philippines.

Responsibilities:

  • Prepare logistics for venue, hotel, dinners, coffee breaks

  • Coordinate operations during the Workshop

  • Support other teams in logistics preparations

Desirable characteristics:

  • Good writing and communication skills
  • Experience with negotiation
  • Availability for 3 days (2 days during the Workshop and 1 day before)

Number of positions:  Three (3)

Estimated time commitment: 2 hours per week 


Local Organising Team Members

The Local Organising Team is responsible for leading the arrangements pertaining to the venue, logistics and accommodation in Philippines in close coordination with the Logistics Team. The volunteers for this role MUST be based in Philippines.

Responsibilities:

  • Supporting other teams in searching for local facilities including restaurants and hotels

  • Supporting other teams in the coordination with local organisations

  • Supporting translation of materials and the website into the local language.

  • Supporting other teams in publicising the Workshop and seeking sponsors and delegates locally

  • Preparing country information for the Delegate Handbook

Desirable characteristics:

  • Good writing and communication skills
  • Experience with negotiation
  • Availability for 3 days (2 days during the Workshop and 1 day before)

Number of positions:  Three (3)

Estimated time commitment: 2 hours per week 


Program Team Members

The Program Team develops the activities planned for AP-SGW, especially the Working Groups.

Responsibilities:

  • Developing working group topics

  • Coordinating and assisting working group moderators

  • Working with the Delegate Team to assign delegates to their working groups

  • Coordinating project work and ensuring that working groups are on schedule during the Workshop

  • Follow up with and supporting working groups after the Workshop

Desirable characteristics:

  • Good writing and communication skills in English
  • Previous experience attending the AP-SGW or other SGAC events
  • Availability for 3 days (2 days during the Workshop and 1 day before)

Number of positions: Five (5)

Estimated time commitment: 2 hours per week
